1. Purpose
The purpose of this policy is to provide clarity and transparency regarding refunds of tuition fees and other charges paid to Orvanta Open College. This ensures fairness to learners while protecting the financial sustainability of the College.
2. Scope
This policy applies to:
• All learners enrolled on programmes delivered by the College. • All tuition fees, registration fees, and related charges paid directly to the College. • Online and blended learning courses delivered at a distance.
3. Policy Statement
Orvanta Open College is committed to treating learners fairly and openly in all financial matters. Refunds will only be granted in accordance with the terms outlined in this policy. Learners are advised to review this policy carefully prior to enrolment.
4. General Principles
• All requests for refunds must be submitted in writing to the College Administration Team. • Refunds will only be made to the original payer using the original payment method. • Registration fees and awarding body fees (where applicable) are non-refundable once paid. • Refunds will not normally be granted after access to learning materials has been provided, except in exceptional circumstances. • Refunds will not be issued where a learner is withdrawn due to disciplinary action or proven malpractice.
5. Refund Eligibility
Learners have the right to cancel their enrolment within 14 calendar days of payment and receive a full refund, provided that they have not accessed online learning materials.
If a learner withdraws before course commencement and after the 14-day cooling-off period, a partial refund may be granted at the discretion of the Centre Director, minus any administrative or awarding body fees.
No refunds will normally be issued once a learner has been granted access to course materials or commenced their programme.
Refunds may be considered in cases of serious illness, bereavement, or other exceptional circumstances, subject to evidence and approval by the Centre Director.
• Registration, certification, and examination fees once paid to the awarding body. • Administrative charges incurred by the College. • Any costs associated with third-party services linked to the course.
7. Appeals
• Learners who are dissatisfied with the outcome of a refund request may appeal in writing to the Centre Director within 10 working days of the decision. • The decision of the Centre Director will be final.
8. Monitoring and Review
• Refund requests and outcomes will be logged and reviewed annually by the Quality Assurance Team. • This policy will be reviewed annually, or sooner if changes in legislation, awarding body requirements, or consumer law occur.
