Orvanta Open College
Purpose
The purpose of this policy is to outline Orvanta Open College’s commitment to ensuring the health, safety, and wellbeing of its learners, staff, and stakeholders. Although the College operates primarily through distance and blended learning, it recognises its duty of care to maintain safe working and learning environments.
Scope
This policy applies to:
All learners enrolled at Orvanta Open College.
All staff, contractors, and associates working on behalf of the College.
All activities undertaken in the course of College operations, including online delivery, home working, and any face-to-face engagements.
Policy Statement
Orvanta Open College is committed to providing a safe and healthy environment for learning and working, both online and in any physical settings where activity may take place. The College will:
Comply with the Health and Safety at Work etc. Act 1974 and all relevant regulations.
Promote a culture of safety awareness and shared responsibility.
Assess and manage risks associated with online learning, home working, and digital environments.
Provide guidance to learners and staff on safe working practices.
Responsibilities
Centre Director – overall responsibility for health and safety compliance.
Managers – responsible for monitoring safe working practices and implementing risk assessments.
Staff – responsible for following safe working practices, including safe use of digital equipment and reporting hazards.
Learners – responsible for maintaining their own safe study environment and reporting any concerns relating to health, safety, or wellbeing.
Key Areas of Implementation
Online Learning Environment The College will provide secure, reliable, and safe digital platforms for teaching, learning, and assessment.
Guidance on online safety, cyber security, and safeguarding will be provided to all learners.
Home Working / Remote Study Staff and learners will be advised on good practice for workstation set-up, posture, screen breaks, and ergonomics.
Mental health and wellbeing support will be promoted through signposting and resources.
Face-to-Face Activities (where applicable) Where meetings, assessments, or events occur in person, risk assessments will be completed in advance.
Suitable venues will be selected to ensure compliance with health and safety standards.
Emergency Procedures Procedures will be in place for reporting accidents, incidents, or safeguarding concerns.
Serious incidents will be logged and reviewed by management.
Monitoring and Reporting
Health and safety matters will be monitored by the Quality Assurance Team and reviewed annually.
Learner and staff feedback will be used to identify emerging risks, particularly around online safety and wellbeing.
All incidents will be recorded in the Health and Safety Log and investigated where necessary.
Review
This policy will be reviewed annually, or sooner if required by legislative, regulatory, or operational changes.
